Job Description
The Assistant Property Manager supports the Property Manager in all aspects of daily property operations. This role ensures efficient office procedures, supports leasing and resident retention, enforces lease compliance, and maintains high standards for property appearance and customer service.

Core Responsibilities
1. Daily Operations
• Review and respond to PRG email and voicemail each morning. Prompt communication is mandatory.
• Manage and update the PRG calendar daily. Appointments must be clearly coded by employee, with no scheduling conflicts.
• Maintain a clean, organized office and ensure all tour units are presentable at all times.
2. Leasing & Renewals
• Schedule and conduct property tours, following Fair Housing guidelines.
• Execute leases with all required documentation (ID, insurance, income verification, pet records).
• Proactively follow up on renewals. Complete and file renewal and non-renewal notices accurately and on time.
3. Resident Relations
• Address resident concerns professionally and efficiently. Document all interactions in the property management system.
• Process all resident notices (move-outs, lease violations, non-renewals) with accuracy and timeliness.
• Monitor and enforce lease compliance. Issue formal notices as necessary and maintain detailed records.
4. Maintenance Coordination
• Review, assign, and follow up on work orders daily. Ensure completion and resident satisfaction.
• Report any resident-billable maintenance items to the Property Manager immediately.
• Coordinate with vendors and confirm completion of cleaning, paint, and carpet services for turnovers.
5. Invoice & Financial Processing
• Review and code all incoming invoices daily. Mark resident charges clearly with “TC” on the invoice stamp.
• Submit invoices promptly for Property Manager approval and processing.
• Assist with coding of bills and scanning maintenance charges to the Maintenance Supervisor.
6. Training and Team Communication
• Lead initial training for Leasing Professionals. Provide ongoing support and development.
• Participate in regular team check-ins. Share updates, raise concerns, and contribute to weekly leasing meetings.
7. Reporting & Documentation
• Update the vacancy list in real time as notices are received.
• Maintain accurate records of resident insurance, roommate changes, move-outs, and turnovers.
• Submit completed quarterly property and open-unit inspections by the 15th of the scheduled month.
8. Marketing & Advertising
• Monitor and evaluate advertising effectiveness. Recommend changes as needed.
• Ensure comparative shopping is completed and documented for assigned properties.
