We are seeking a proactive and skilled Facilities Manager to ensure our building, vehicles, and grounds continue to support our exceptional programs and services.
Position Summary
The Facilities Manager is responsible for maintaining a safe, clean, and fully operational environment across TNT’s facilities and vehicles. This position will manage repair work, vendor coordination, preventive maintenance, safety, and long-range facility planning. This role is both strategic and hands-on, ideal for someone who thrives in an active environment and takes pride in keeping operations running smoothly.
Work Schedule
Monday-Friday, 6AM-2:30PM. May require limited afternoon, evening, or occasional weekend support for annual events or facility-related needs.
Key Responsibilities
Facility & Grounds Management
- Ensure the facility is fully operational with all utilities functioning properly.
- Schedule, supervise, and assist with maintenance repair work and building equipment servicing.
- Ensure grounds are well maintained.
- Ensure compliance with all applicable state and federal regulations related to facility operations and safety, including coordination of required inspections and documentation.
- Support energy management initiatives.
- Oversee contractors and vendors performing work on the facility, ensuring quality, safety, contract compliance, and timely completion.
- Maintain, track, and ensure compliance with the Operational Maintenance Calendar.
- Respond to incidents, outages, and urgent facility issues.
- Maintain building furnishings, fixtures, cameras, electrical systems, and underground sprinkler systems.
Vehicle Management
- Schedule and supervise vehicle maintenance and repair work.
- Assist with hauling equipment for various events.
- Oversee training of new drivers.
Financial Administration
- Evaluate, develop, and update the annual projected facility and vehicle budget.
- Adhere to projected budgets and ensure cost-effective use of resources.
- Document, prioritize, and strategize quarterly regarding capital improvements and vehicle expenses.
- Maintain appropriate stock levels of supplies and parts aligned with budget goals.
- Lead and participate in the bidding process for Requests for Proposals (RFPs), ensuring competitive vendor selection and cost-effective solutions.
Safety & Security
- Mitigate risk and oversee safety and security of buildings, grounds, and vehicles.
- Manage disbursement of facility keys and room codes.
- Ensure compliance with WSI, OSHA, environmental, and other applicable regulatory standards.
- Support emergency preparedness and enforce TNT safety protocols.
Long-Range Planning
- Assist the President & CEO in planning for facility growth, renovations, additions, new construction, or future vehicle needs based on organizational growth.
Additional Responsibilities
- Enforce and model TNT policies and emergency procedures.
- Maintain documentation, inspections, and reporting.
- Supervise part-time facility or transportation employees as assigned.
- Perform other duties as requested by the President & CEO.
Required Qualifications
Minimum 3+ years of experience supervising others and working in a team environment.
Experience in facility management, maintenance, or related operations role preferred.
Ability to attract, retain, lead, and motivate employees.
Excellent customer service skills.
Strong verbal and written communication skills, with the ability to tailor communication to diverse audiences including staff, children, and parents.
Ability to collaborate effectively with individuals of diverse backgrounds, abilities, and perspectives.
Strong organizational and time management skills; ability to manage multiple projects and facilitate change.
Ability to maintain confidential information and confidently manage difficult situations.
Proficient in Microsoft Word, Excel, and Outlook.
Working knowledge of HVAC systems and utilities to support troubleshooting and maintenance coordination.
Familiarity with small construction projects and general facility repair and upkeep.
Competency operating small machinery and power tools.
Self-motivated with the ability to make independent decisions.
Ability to lift up to 40 lbs and work in varied physical positions.
