Job Description

Border States Paving, Inc., a family owned, regional paving company with headquarters in Fargo, ND, is accepting applications to fill the position of an Office Administrator.

Perform front office activities that support the executive and management team which may include some of all the following: President, Vice President, CFO, HR Manager, Project Managers, or other team members assigned.

Duties include: answering phone calls, greeting the public, handling flow of correspondence, requisition and maintenance of supplies, filing, composing and word processing documents and correspondence, scheduling meetings, performing data entry and creating and maintaining records to ensure efficient business operations. The highest quality of workmanship is expected in assigned duties while working in a safe, productive and professional manner.

Essential Duties and Responsibilities:

  • First point of contact via in person front desk or while answering phones
  • Act as a point of contact for vendors, subcontractors and various construction services team and solicit DBE quotes.
  • Prepare forms such as subcontracts, change orders and purchase orders.
  • Handle outgoing mail, messages and deliveries at assigned job site.
  • Support bookkeeping procedures for the company.
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures, including managing maintenance for office printers/copiers, phones, mailers and others.
  • Negotiate prices and contracts for lodging and meeting spaces, along with room bookings.
  • Complete various projects for accounting.
  • Follow company policies and procedures. Bring concerns to CFO/Vice President.
  • Conform with and abide by all regulations, policies, work procedures and instructions.
  • Performs additional duties as directed by the CFO/Controller, President or Executive Vice President.
  • Other duties assigned

Knowledge, skills & Abilities:

  • Ability to deal effectively and tactfully with a wide variety of individuals, via telephone, in person and in writing.
  • Ability to process work with accuracy and in a timely manner.
  • Ability to communicate effectively with co-workers, management, vendors and others in a courteous and professional manner.
  • Mathematical ability and the ability to remember words, numbers and other information.
  • Ability to work without supervision and to make appropriate decisions.
  • Strong ability to utilize Office Applications such as Adobe, Excel and Word.

Experience: An Associate degree in accounting or HS diploma with two plus years of accounting related experience preferred. Excellent time management and organization, and strong investigation skills. Strong skills in attention to detail and follow-up. Strong computer/software skills in MS Office applications (Outlook, Word, and Excel) required.

Hours: Mon-Fri 8-5

Salary: $50,000-$60,000 DOE
