Position Title: Scheduler
Reports To: CEO
Location: Grand Forks, ND

Position Summary

The Scheduler is responsible for coordinating and maintaining the daily and weekly schedules of Care Managers to ensure consistent, high-quality care for All Embracing Home Care clients. This role requires excellent organizational skills, problem-solving abilities, and strong communication with both staff and clients. The Scheduler ensures that shifts are staffed appropriately, last-minute changes are addressed, and documentation is updated accurately and promptly.

Key Responsibilities

  • Develop, manage, and maintain weekly and monthly schedules for Care Managers.
  • Match Care Managers to clients based on skills, availability, location, and client preferences.
  • Respond promptly to call-ins, emergencies, and last-minute scheduling needs.
  • Communicate schedule changes with Care Managers and clients in a timely, professional manner.
  • Maintain accurate records of schedules, shift changes, and staffing notes in scheduling software/system.
  • Coordinate with HR to onboard new staff and ensure they are added to the schedule.
  • Monitor caregiver hours to reduce overtime while maintaining client coverage.
  • Ensure compliance with state regulations, agency policies, and client care plans.
  • Provide excellent customer service to clients, families, and staff by resolving scheduling concerns quickly and effectively.
  • Participate in on-call rotation, as assigned, for after-hours scheduling needs.

Qualifications

  • High school diploma or equivalent (associate or bachelor’s degree preferred).
  • Prior scheduling, staffing, or healthcare office experience preferred.
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Ability to handle multiple priorities and remain calm in fast-paced situations.
  • Proficient in Microsoft Office Suite; experience with scheduling software a plus.
  • Demonstrated ability to work independently and as part of a team.

Work Schedule & Compensation

  • Full-time, Monday–Friday, with occasional on-call responsibilities.
  • Pay: Competitive, based on experience.
